Good afternoon all!

OK so bit of an odd one but a friend who runs a small farm and local business wants to try implement some software to control a portion of his small business, and I wondered if anyone knows of anything that might be suitable?

The current set up:

The rent out equipment to third parties, and have a document (in paper form) which includes Ts and Cs and memos etc reference the state of the equipment.

The Requirement:

To have a digital paperless system which includes a digital version of the Ts and Cs document, but also has the ability to link pictures to each "job" per say. This needs to be accessible via tablets (Android) and also have the ability to email the collected information back to a central email, or link to a database for historic data stuff (tied into a job number or similar).

I know a VERY basic way would be to have a PDF of the original document, as the latest version of Adobe allows signatures via a tablet device. Take a photo manually and add this into an email application to send off, but this is not very "user friendly".

Anyone know of anything that might suit the requirement that has a trial I can look into?

The very easiest open would be to use O365 have a naming convention on the folders, or simply a column/ field for IDs/Job Number. Can permission folders just for the customers then and they can access/ upload from their phones easily. I mean, you could custom make an interface for it but would be a nice simple way of doing it.
 
I dont know much about that side of office 365. I wanted it to be either a simple app (with those functions built in) or a webbased service that would do the same.

As the reality is this needs to be user friendly with little training to the people responsible for getting the document signed, and a picture taken etc.

Without giving it a go its hard to say if it will suit the requirements. It seems more geared to inventory management, which is not REALLY what im after at a granular level.

The biggest comparison to what i am after is a bit like when an onsite engineer might come to repair something at a location or your home.

The usually have a smart device (tablet/phone etc) with a user interface for job logging and data collection. I need this functionality but with the ability to have a signed Ts and Cs form and picture functionality in case any damages to the rented equipment is found (Machinery)
 
You probably want smart form software, e.g., you design a form with whatever fields you want (text inputs, photos, signatures) and push it out to your devices. They capture and send data back to a website where you can do whatever you want with it.

How much data are we talking about here and what is the budget?

If it's small amounts surely this would be doable purely via email? Digital signatures I don't know enough about but if you write into the contract something along the lines of "Your registered email is XYZ. Any communications from this account, including but not limited to contracts, constitute a signing of the said contract."

Pen signatures/Digital signatures, are they really a safe way of proving anything, they can all be faked. Access to an email address however is limited to the account holder and their representatives and the security of that account is purely down to them.

Then just put a reference number in the subject line of the email so they can be tracked back and forth. Photos can be attached as and when needed. Archived for historical retrieval.

This is free as you'll already have the systems in place but could be a pain with large amounts of data.

You may need to look at a custom software option though which could be costly, but again, depends what the spec really is? How much do your want the clients to see?
