Backing up Outlook

you can manually backup your files by copying the folder to another location

and export your address book to a file too
 
As I understand it, you need to backup all the PST files, but I need to know exactly which, such as for contacts and inbox etc. Would these all be located in the same place or not? Have tried a couple of, so called backup peices of software, but they don't seem to pick up what I want.
 
If you go to one of the menu items there should be an option to Export your email and contacts in .pst format. You then import this file into the new client.

all your mail is in the pst files in one folder

the contacts , i believe, you have to export seperately to a file..
 
It's no more complex than exporting everything in your personal folders to a PST file. It will contain everything if you select the top of the tree of the 'folder' list.

You most definitely don't need extra software!
 
i just manually backup outlook.pst
that includes all folders, messages, and spam rules

doesnt include email settings though.
 
Thanks all for the info, its much appreciated.

The main reason I ask, such as using software that works, or manually, if that's just as easy is that I'm concerned about loosing the email and contacts list (minimum) as its on a Office PC which needs formatting (very unstable). They should have backed up this before but never had the inclination/experience to, until now, lol.

Have now got them to get themselves properly kitted out with some good backup hardware (NAS).

So hopefully I'll find these PST files and hopefully be able to restore them.
If I manually find and save them, I take it I should be able to just paste them back in the correct folder after Outlook has been reinstalled.

MS should have implemented a better solution to this by now, without having to go though all this malarkey.

Have now had another look at Outlook, and have done this:

1. File | Import & Export...
2. Export to a file --> NEXT.
3. Select Personal Folder File (.PST) --> NEXT.
4. Select Personal Folders & select "Include subfolders" --> NEXT.
5. 3 Options, so selected the default, "Replace duplicates with items exported" --> NEXT.
6. Save to where-ever.

I now end up with a backup.pst file.

Am I right in assuming this will include everything I need?

If so I also assume I just need to "Import" this file to get back all the info I need?

If this is correct then appolgies to MS, maybe its not that bad after all, lol.

it should include everything you need, I always export/import things this way to and from outlook :)

When you've formatted, just go to the import/export option in outlook and do:

1. File | Import & Export...
2. Import from another program or file --> NEXT.
3. Select Personal Folder File (.PST) --> NEXT.
4. Browse to your backup.pst file --> NEXT.
5. 3 Options, so selected the default, "Replace duplicates with items exported" --> NEXT.
 
Is there any way of exporting your email account settings? Nothing I can see in that Office help site...

This is on Outlook 2007 BTW...

IIRC the only way to do this in Outlook 2007 is by exporting/importing a registry key (can't remember the details, but I'm sure Google will provide). Unless you have dozens of email accounts it's probably easier to re-enter the information by hand when the need arises.
 
For backing up email accounts in Outlook (at least in 2003), a Quick Google revealed:

Just locate the following key in registry (start – run – regedit):

HKEY_CURRENT_USER\Software\Microsoft\Windows NT\CurrentVersion\Windows Messaging Subsystem\Profiles\Outlook

Then right click on the key, outlook and select option, Export…save it anywhere you want…
and run it while restoring your outlook.

This will restore your old outlook profile with all email accounts and rules.
But, you will have to enter passwords for the accounts again. It does not store the user passwords.
