Dyamnic addresses in MS Word

At work we have a simple macro which, at the click of a button allows our staff to create say, a fax with all the margins and spacing pre configured. We also have a feature which allows staff to click a button and create a letter. To make things easier in the long run I have decided to try and create a dynamic return address. Here is how it breaks down:

1. A member of staff may have around 3 titles each (if they dont want to include their phone number on a certain letter, or their email).

2. This would be possible but with the amount of staff im looking at 45 buttons on a small VB application.

3. I was going to see if I could assign a address per windows login, this has hit a stumbling block as many of the secretaries work for multiple departments/staff members.

I noticed that in Outlook you can change email signatures with a simple right click, as this is linked within the Office family I was wondering would this be possible in MS Word? The only other thing I can think of is using forms? Or am I being a complete imbesile and is there a much easier way to do this task?
