Emails sent to clients going into their Spam folder

For some time I have had a problem where our emails are going into the recipient's Spam folders. It has got to the point where we have to phone people to make sure they have received it.

We have used TSOHost for many years and are reluctant to change without fully understand the reason why this is happing.

The only other this that happens is that regularly we have to contact TSOhost to whitelist our current IP address so that we can send/receive emails. We are currently with BT.


If it's TSOhost fault we will move, but I am reluctant to do so without knowing the cause.
 
I'm presuming you've got your own domain name.. I'd take a look at https://mxtoolbox.com/SuperTool.aspx

From there enter DNS: and then enter your domain name

This will check to ensure that you've got a correct SPF & DKIM record setup (it'll also flag up anything else that's not correctly configured)

Do you have any sort of SPF or DKIM setup in place? Where is your email server actually located?


First check your sending IP address isn't on any blacklists.

Then send an email using the following site which checks for common problems.
http://mail-tester.com/


Thanks for all the suggestions. From what I can ascertain


My domain has no DMARC Record
DMARC Quarantine/Reject policy is not enabled
Local NS list does not match Parent NS list
The SPF is correct

Using mxtoolbox: IP not blackisted
Using dnsbl: 4 sites list the IP as blacklisted

I find it really difficult to recommend people do anything other than use Office 365 for their email to be honest - these web hosts that also do email just aren't up to it. Not to say you can't fix it, but if you're putting the effort in anyway you may as well move to a superior platform.
