Help setting up Microsft acc for GF's dad

I got lumbered wth setting up my GF's dads new laptop, pretty easy right? No , They set up a microsoft account on it in store using a gmail account, when I try to do anything like redeeming their office 365 subscription for example it asks me to sign in but then it asks me to "Add an email address"?, then it says learn more about aliases? I try to add the email address they signed up with but then it says this is already a microsoft account?

This is very confusing, why do I have to add and email address when they already have one?

Is it better I tell that I just setup an outlook email account instead? And if I do that can I replace it with the gmail microsoft account currently on the laptop or is windows 10 now tied to that acc?

You cant add hotmail.com, live.com, outlook.com and msn.com email addresses to microsoft account.

Your GF's dad already set up microsoft account with gmail email address first time so all he need to do is enter Microsoft account with gmail email address and password. If it didnt worked then they probably need to verify Microsoft account with gmail email address first before they can log in with Microsoft account. Make sure they download Microsoft Authenticator and add mobile phone number to microsoft account that they will be able to see verify codes. If not then they need to check gmail for Microsoft email for verify code.
