I need to set up a monthly newsletter for all of our customers. I basically need to have a "please your email address here if you want to subscribe to our newsletter" which then emails them for confirmation.

Then I'd like to design a monthly newsletter which would be automatically emailed to them in HTML (or optionally PDF) format.

Any suggestions which software would be suitable?
 
Depends on a few factors

do you need to send text only or html, or both?
do you want tracking?
how many people are you going to send to?

what’s your budget?
do you have any programming experience?

If you are reasonably experienced with PHP or similar then knocking up a simple mailer wouldn’t be any trouble @ all, or if you are very clever then you can build a more complicated system that could cope with sending out hundreds of thousands of mails no problem!
 
Really depends mate on what your background is, I know its in IT to a certain degree (Consultancy?)

Is this something that you are looking to build yourself, or buy in software for it? The company I work for deals with some quite large clients in this area, and run their own software package that gives great control and flexbility without much knowledge of the technical side of things.

I need HTML but obviously with an option for those who can only receive text only so they can maybe go to the website to view the newsletter and/or download a PDF version.
I was gonna say that tracking isn't all that important but now that I think about it I guess it would be a good feature. The most important thing is the basic subscribe/unsubscribe feature which I guess is pretty standard.
Will be sending to around 5000 customers so pretty small really, it's certainly not a mass spamming exercise :)
My PHP experience is more along the lines of amending other peoples code to make it work for me so I'm not looking to build anything myself, just buy something in that I can install and pass over to the DPT/admin staff to sort the newsletters.

I'm an IT Manager so I have a pretty good all round knowledge but for really specialised technical stuff I just hire in consultants. I think I should be able to install something like this though ;) For something like this I don't have time to be messing around creating something from scratch, I'll just buy some off the shelf software (makes my life much easier!)
