I have been asked to look into a "foolproof" solution to save down emails to a Windows file system from Outlook 2016 (Windows 7 64). I am aware you can drag and drop but this gives rise to naming issues if duplicates are found as well as other issues.

We aren't looking at full document management and we have an email archiving solution linked to Exchange already that covers that side - this is simply from the user-end to be able to save down individual emails (and attachments if possible) under a client folder, ideally in PDF.

It's not an ideal practice I know but due to the small size of the business (under 10 users) and low levels of emails (30-40 per day company-wide) a document management solution simply would be wasted here (we had looked into this recently).

Thanks

Adobe Acrobat Pro does a nice job of this. It adds a button to the toolbar which you can click to export instantly to PDF. The latest version of Acrobat also saves off the subject and from address, in a manager type thing - give it a go :)

In fact, I just noticed that there's an automatic archive feature that Adobe have put in there. Looks like you can automatically archive to PDF if you wanted that.

Thanks for that.

Yes well we are on Exchange so don't have PST file issues - it's more a quirk of our internal workflow in that emails are saved down to individual client files in Windows file system.

Sounds more like it to be honest - will take a look.

Thanks again
