we are a small airport transfer/taxi company with 4/5 different dispatchers/admins all needing access to the same emails.

currently we have

admin@xxx
bookings@xxx
contact@xxx
admin@yyy
bookings@yyy
contact@yyy
admin@zzz
bookings@zzz
contact@zzz

now at the moment we have everyone setup with a copy of outlook 365 on their own devices and have added each account above to every device along with user@xxx/yyy/zzz

what we would like to do is have some sort of managed system where we can see who replied to an email and when. is this somethign that we can easily setup in outlook365 or is there better software out there?
 
have a look at the below, it will save the sent emails to the shared mailbox rather than the individuals mailbox.
Messages sent from a shared mailbox aren't saved to the Sent Items folder - Exchange | Microsoft Docs


Depending on how you have it all setup you can have multiple emails address's assigned to a single shared mailbox ie so all your mails to admin@*** will go to the same mailbox.reduces some of the overhead, worth thinking about unless you need that separation.

But by the sounds of it your probably better off going down a CRM system of sorts if you can, as emails can easily be missed!
