Total items in Exchange System Manager 2003?

Hi all,

I've got a client who's concerned by the fact that the total items that ESM shows in their mailbox is vastly more than they think they have emails in their mailbox.

I personally think that ESM considers calender items and contacts as items as well possibly and that is why the numbers don't match up.

They are annoyed that they are reaching their DB size limit and don't think it's because they have too many emails so they want me to prove why there is a difference in the figures.

Am I right in thinking that the total mailbox items in ESM includes contacts and calendar entries? If so is there any KB or anything that I can show them to prove it as they don't seem to want to take my word for it.

IF I'm wrong, then does anyone know why there would be such a diffeence in the numbers?

Also does anyone know how to get Outlook 2003 to show how many items they have in their mailbox in total so that they can see it in both places? I know I can show them each folder and how many items their are, but they have hundreds of subfolders so I'd be there all day.

Hey maybe subfolders count as items! lol

I'm on site with them tomorrow and they are bound to bring it up so if anyone has any concrete proof of what total items is made up of that would be awesome.

/edit just to clarify the mailbox SIZES are the same in both places, but in Outlook they believe they have much less emails that ESM shows total items.

Bet they aren't counting sent items, deleted items and junk-mail, which exchange will count.
 
Right click on the mailbox in their outlook and go to folder properties, it gives you a break down of each folder and its size/items.

They are counting them unfortunately.

This gives the sizes but not the number of items, the size matches that in exchange.
 
SERVICE REQUEST:

We have a client who needs to know the actual number items in a folder and see how that tallies with the “Item Count” in the ESM.

RESOLUTION: Here are the Steps needed to get the Number of Item per Folder per Mailbox.

Please download pfdavadmin utility that will help us collect information on the number of e-mail items in each of the folders of the mailboxes on the impacted Exchange server.

Please install Pfdavadmin on a Windows 2003 server or on a Windows XP workstation that has the Microsoft .NET Framework Version 1.1 Redistributable Package loaded.

To get a listing of the mail tem count in the mailboxes follow the steps below:

1. Launch PFDAVAdmin.

2. On the File menu, select Connect.

a. In the Connect dialog box, enter the name of the Exchange Server the mailboxes reside on.

b. Check the "Authenticate as currently logged on user" checkbox.

c. Select "All mailboxes" under Connection and click OK.

3. On the Tools menu, select Options. Check the "Enable logging to file" checkbox and click OK.

4. On the Tools menu, select Export Properties.

a. Select "All folders" for "Scope and Output".

b. Create an Output File such as c:\ItemCount.txt

c. Check the following Properties to export:

PR_DISPLAY_NAME : 0x3001001E

PR_FOLDER_PATHNAME : 0x66B5001E

PR_CONTENT_COUNT : 0x36020003

5. Click OK.

6. Import the MailboxFolderItemCount.txt file into an Excel Sheet for a clear view of how many items are present in each folder, in each mailbox.
