Help Scan To SMTP Email - UPDATE

Mods first of all please move this thread if required - sorry didnt know if i should put this in one in the networking or servers forums?
as it's an Copier device and M/S Exchange tech query?

I'm having issues getting scan to email to work on a Ricoh Aficio MP 4000
this worked before without any hickups but the other day just stopped working. (i think the onsite admin has messed about with some of the settings but they wont admit to it)

When ever i try to scan to email it come back with these errors

#[dcs_nas(138)]12/05/24 09:43:40 SMTPC: connection closed. (8000) ERR:
#[dcs_nas(138)]12/05/24 09:43:40 SMTPC: connection closed. (802) ERR:

See the images below for the settings i have put in for the scanner & in exchange.

Exchange Servers IP is 100.0.0.200
Copiers IP is 100.0.8.200

I have tried with authentication on and off and the same errors codes come back, I've searched through the exchange logs and the email has not even hit exchange check email filters and nothing.
I've tried different IP address for the copier and put the new ip in the granted relay list and still the same error codes come back/
any advise would be good?
Thanks

Of course many networks are different but generally you dont authenticate SMTP, so the username and password you have in there may well be irrelevant. 90% of the sites i deal with dont.
Both the server and the MDF setup look correct to me. It might seem like a long shot but have you tried power cycling the switch? Hiccups on those usually prevent all traffic.

Another long shot that may work in a small business is to see if you can scan via your ISPs mail server. This would help to rule out the Ricoh if it worked.

If you can get hold of a Ricoh technical manual the error codes might help identify where the problem lies.

Generally all you need on the MFD end is Mailserver IP. From Address and From Name.

Server side just needs a mail relay and your done

I see you've added it to the relay permitted list, but have you added it to the connection control list?

Thanks for your reply - no i have not added it in there as that's set as
"All Except the List Below"

and the list below is not populated with anything so in everything should be allowed.

Cant seem to find anything that has these error codes google brings back results from www.copytechnet.com but no real answer.
I have sheduled a exchange server restart for today and will look at the switch now to see if there's anything block it there.
may even run a wireshark scan to see if there's any issues connecting to the SMTP server but over looked this as I have Backup Exec using the same SMTP settings to email it's backup results and that's still working ok that's coming from another server a DC too not this Ricoh MFD.

Thanks for the advise guys keep it coming I will get back to you once i have doen and looked at the above.

Not sure if it's the image quality, but in the relay restrictions list, the IP address appears to be 100.0.8.200.

Other than that, is the exchange server also the WINS server,

And of course, the obvious one, I'm assuming you've created the copier login within AD? :p

100.0.8.200 is the copier address for sure it's a 255.255.0.0 sub so the IP scope is huge i know having an internal IP range set as a public range is a bit stupid nowadays but this was the way it was setup years ago back when NT4 was running it. lol

There is not a wins server configuerd really I just whacked in the exhange IP as something else to try, It was blank before and also set to DHCP but still no joy.

and yes the AD account is setup and unlocked SMTP does not need to authenticate based on the exchange settings even whe i enabled it in exchange and on the Ricoh still no joy.

Finally got it to working - the switch was not the problem and the server restart was not the problem either.

I found there were two other copiers onsite and on IP 100.0.0.229 & 230. and these where also working ok up until the other day.

Culprit DNS issue it had not updated and replicated to both DNS servers one was saying one thing and the other said something different I removed both entires and let it update again after I flushed the cache.

then the two copiers could send email again.... with thes being on 100.0.0.x range i checked DNS and exchange and found exchange would not allow anything outside of it's own sub to relay even though I had granted the IP 100.0.8.200 too.
I changed the troublesome Ricoh to the IP 100.0.0.231 and it worked scan to email now working :-) happys days thanks for all your input :-)
