Macbook printer authentication issue

I have a colleague who is unable to print to a network printer on our Windows network from her Macbook. Every time she tries to print a document, the print queue just gets bigger and each document says something like, "Hold for authentication". I've tried every username and password I can think of.

Does anyone have any suggestions on how to fix this?

Yep. I've tried her Windows credentials, her Macbook login details (same as her Windows), our wireless network password, mine (just in case that worked) and one or two network ones to see if administrative rights worked.

Sure I have seen this before but it wasn't auth it was the driver or protocol I think?
OK. I'll check that tomorrow. I normally browse to the printers on the network, right-click and connect so I would have thought the protocol will be OK. Still, gives me another possibility to check out. :)

The way I've setup the printers at work is to enable LDAP on the server and then install the printer using LPD referring to it as LPD://<server name>/<printer queue>

If she's a restricted user on the mac, she may need to be added to the local print operator group.

I work in a school and I don't think our server has LDAP on it. Even if it did, I'm not really allowed to do anything major with it because our tech support company do all that.

As for restricted user, I'm fairly sure she's an admin user. How would I add her account to the local print operator group?

https://discussions.apple.com/thread/2374598?start=0&tstart=0

dseditgroup -o edit -u admin_name -p -a user_name -t user _lpadmin

This will add her to print admin group, I had to do this for some users as they kept blocking the print queue on the local machine. but this should stop the issue if the issue is caused by the local machine.

Can you pop a screen shot on how you got the printer setup on the mac?

Cool. I'll see if I can get to the Macbook again later. I found something on Apple discussion forum saying to try username and password of guest/guest. I thought it wouldn't be that simple. It wasn't. :p

I'll get the settings when I can for you. I do doubt that its on LDP I must say.

Tried to get the Macbook earlier today for a look at it and to check printer settings. Events overtook me though and I'll be doing my best to look at it tomorrow. :)

OK, so it's been a few months and I now have the Macbook in question. Two colleagues have new Macbook Airs and want to be able to print to our school office printer.

To complicate matters further, the office printer is on the admin network and the wireless network connects to the curriculum server. However I can see the admin server and add the printer but nothing prints out.

I spent a while this afternoon trying to add a printer and successfully get something printed out. No luck! Even to a printer on the curriculum network.

We use HP CP2025n printers on our curriculum network. I can't find any Mac OS drivers on HP's site and the CP2025n page implies that from Mac OSX 10.5 the drivers for HP printers are pre-supplied in the OS?

I did manage to find an error log on the Macbook, it is in the spoiler below. If anyone can interpret it and tell me what is going on, I'd be grateful. I'm not a Mac expert in anyway so I'm totally stumped at the moment. When I added the printer in the ICT room, next to my office, I kept getting a message in the Print window, "Ready to print". But nothing happened. When I clicked on 'Resume', the document was listed as printing but then after a few seconds it went back to ready to print. :(

I've had this in the past and eventually gave up. There's some sort of known issue with getting a Mac to print to a printer that's shared by Windows. I found plenty of people having the same problem, and nobody actually fixing it.

That's kind of what I did. I didn't consider it an important enough problem to spend too much time on. One of the assistant headteacher's did moan but there's a computer in her office that the deputy head uses so I told her to use that instead. She moaned enough to the boss that I spent an hour a week last Wednesday but to no avail so at least I could say I've tried.

I then decided to try plugging my Macbook into the printer via the USB cable connection. It worked. So I then emailed my boss and the two Macbook users to say USB printing works. Predictably the boss wanted a demo so got his Macbook out. It failed. :D

We then had another go, I downloaded the drivers for the printer, added the printer and it worked wirelessly. I replicated this on my boss' Macbook and it worked for him as well.

I sorted the other Macbooks out as well but not before the assistant head's Macbook replicated the authentication issue. I realised she was using the account copied over from her old Macbook (now mine) to her new Macbook Air. I told her to use her new account on the Macbook and it worked fine.

It doesn't help that the printer is on the admin network, for office staff and senior teachers to use, but the wireless points all connect to the curriculum network so trying to get the Macbooks to see a printer on the admin network through the curriculum network wireless connection is very painful and takes several minutes to show the admin server so I can then choose the printer.

I did try to explain to my colleague that it was a difficult problem, with no obvious solution to be found online and my experience/expertise lies in Windows and not Macs. She asked for a Macbook and so I wasn't exactly 100% sympathetic to her problems. Had she accepted a new Windows laptop she'd have been printing wireless from the day I set her laptop up. ;)

when adding a mac to a windows domain it uses LDAP to pass username and passwords to the server. The servers must support LDAP for it to work.

The only other ways is to get it to work is to by pass the server by pointing the mac to the printers ip address and using what ever protocol that printer uses mainly hp print direct/adobe script/bonjour - appletalk (dead). You can use some sort of web print interface and authenticate via NTLM. :)

Here's my works-every-time-so-far guide to adding a Windows shared print queue on a Mac:

  1. Open the Printers & Scanners dialog in System Preferences, and click '+'
  2. Right-click on the toolbar and click 'Customize Toolbar'
  3. Drag the 'Advanced' option onto the toolbar, then click 'Done'
  4. Click it
  5. Change type to 'Windows printer via spoolss'
  6. Enter the printer queue as it appears on the server - e.g. \\printserver\Mono Laser becomes smb://printserver/Mono%20Laser
  7. For 'Use:', pick 'Select Software...' and select your print driver. Generic PCL or PS will probably be fine if you can't find your printer.
  8. Profit

If that's still causing issues or is unreliable then you can look at getting web printing enabled on the server but it shouldn't be necessary.

Tis how I finally cracked the issue. :)

The printer is a Kyocera so I downloaded and installed the drivers for the correct machine first and then followed exactly your list. As the printer is in the office and thus on our admin network, the Macbook takes ages to find the admin server as the Macbook connects to the wireless network which runs off the curriculum server.

I think you've got a routing issue that needs looking at if it's taking ages. I just followed those steps to check them over a VPN and it was nearly instant.

Wouldn't surprise me. I took over as ICT Manager for my school in September when my boss left. I've been there for nearly 4 years, 3 of which as ICT Technician. My boss wouldn't let me get involved in stuff like that.

Fancy giving me some hints on how to diagnose whether we do have a routing issue or not? And how to fix it if we do? :)

Oh and by waiting ages, I mean minutes. The curriculum server itself took a good few seconds (say 30-40) which made me a bit suspicious.
