Do you mean you want to store all outbound mail seperately (i.e so you retain all email even if an employee deletes their sent items folder?)

If so, you'll want to enable journaling in exchange. It effectively archives a copy of every single email sent or recieved by exchange in a mailbox of your choice. This way you'll have a copy of all employees sent and received mail.

You want transport rules I suspect, it's a fairly common requirement. That will send a copy of all outgoing messages to another mailbox, you could also just rely on the users sent items and enable retention of deleted items. It depends whether you want it for compliance or to snoop on their emails. If it's the second then just remember the legal bits...

aye thats it iwe need copies of whats being sent out, as we have a few hotdesk type staff ie 5 people who may answer a job and we need to see what was said,, they all know what we want it just the possibility of it going adrift being deleted etc etc as we quote for jobs its important to see it thru for ourselves.

thanx all the journal way seems to be whats needed.. as now the next part is it easy to set up as there using pop3 at mo ?

what legal bits,
boss just asked me to do this and I'm not really happy doing it.

there any websites with this stuff on?
we've all got emails etc here and the boss basicaly said he doesn't want anyone using them for personal use and asked me to check everyones sent items etc once a week
this is kinda my fault too as I was caught emailing the GF once or twice
