Minuting meetings
Managing IT resources, including setting up laptops for new starters, fixing small problems, ordering equipment, setting up monitors, keyboards etc, including completing in house and external IT training
Arranging for new conference facility accounts/ maintaining Webex admin site/ unblocking blocked accounts etc
Ordering new business cards/ letterheads etc
Ordering daily staff lunches and ordering stationery
Distributing post, franking post, taking post to the front desk in time for daily collection, maintaining franking machine (ordering parts, topping up credit etc)
Arranging couriers
Fielding general office enquiries
Switchboard operation
Putting slides together for management meetings
Setting up VTC unit and conference calls
Operating VTC unit and replacing/fitting snom phones and polycoms, fixing small problems on both
Refilling coffee machines/ordering coffee machine supplies
Meeting and greeting visitors
Managing security passes
Managing company mobile handsets
Liaising with cleaners/ ordering cleaning supplies
Approving invoices
Purchasing office equipment/ raising Purchase Requests
Booking conference facilities
Booking flights
Booking meeting rooms
Liaising with suppliers
Sourcing new suppliers
Sourcing the best deal for a new multifunctional office device
Helping with our rebrand
Helping with Health and Safety arrangements, including risk assessments
Watering plants
Sending meeting invites
Covering for the Executive Assistant to the CEO
Keeping floor plan up to date
Maintaining admin area oncompany intranet
Organising Visa applications
Maintaining email distribution lists
Sending email notifications to our office(s)
Regularly checking the Sales Inbox and forwarding on enquiries to the correct people
Sending round birthday/ leaving cards for people to sign
Projects for HR/Marketing
Assisting in community relations
Assisting in an office move from two floors to one
Helping to co-ordinate the moving of our server and BT switches
